Example (fictional data)

A district IT team of three manages 4,000 Chromebooks across nine schools. Before the new school year they import the inventory, filter the 600 devices handed back by graduating students, move them to the "Spare" organizational unit in one action and update their location to the district warehouse. Then they list the devices not seen for 90 days and send each school its own list to find.

How it works

School districts in the US run thousands of Chromebooks, and most of them are managed in the Google Admin console of a Google Workspace for Education domain. Devices are handed out at the start of the year, moved between schools and classrooms, repaired, replaced and collected again.

Each of these steps means changing something on many devices at once: moving them to another organizational unit so the right policies apply, or updating the asset ID, location, assigned user and notes. In the Admin console this is mostly done device by device, or through exports and uploads that take time and are easy to get wrong.

The add-on brings the Chromebook inventory into Google Sheets. With the administrator's permission it reads the Chrome OS devices of the domain from the Admin console and lists them in a sheet: serial number, model, organizational unit, asset ID, location, assigned user, last sync and the date until which the device receives updates.

Once the devices are in the sheet, you work with them like any list. Filter by school, model, organizational unit or last seen date, sort, add your own columns, and share the sheet with colleagues who do not have Admin console access.

From the filtered rows you act in bulk. Move the selected devices to another organizational unit in one action. Edit asset ID, location, user or notes in the sheet and send the changes back to the Admin console for all edited rows at once. Every action is logged in the sheet with the time and the administrator who ran it.

Ready reports answer the usual questions: which devices have not synced for 30, 60 or 90 days, which models stop receiving updates next year, how many devices each school has in each organizational unit.

The inventory can be refreshed on demand or on a schedule, so the sheet stays close to what the Admin console shows.

The add-on is meant for IT staff of US school districts and schools on Google Workspace for Education. It runs inside Google Sheets; nothing needs to be installed on the devices.

Typical moments in the school year become short routines: handing out devices at the start of the year, moving a class to a new school, collecting devices from leaving students, marking units sent for repair and listing the models to replace before their updates end. Each routine is a filter plus one bulk action, and it can be repeated next year.

The service is in preparation: we are checking whether school IT teams need it before it is built.

The add-on changes device records only when an administrator runs an action. Device data includes user accounts, and how it is shared stays under the school's own privacy policies.
